Objective

In order to meet its growth objectives, Gelder Group required improved print management solutions in order to gain better control of costs, as well as the introduction of automated finance systems to help manage the many thousand purchase and sales ledger transactions dealt with by the Accounts department.

The Gelder Group’s expansion in recent years has been considerable, particularly when taking into account how construction firms across the nation have been so hard-hit by economic uncertainty.

With a desire to drive growth in new markets, backed by the introduction of innovative technology and working practices, Gelder Group took the decision to invest in improving efficiency within its back office operations.

The Solution

Initially focusing on improving the photocopier fleet, replacing maintenance-heavy brands with premium, centralised Canon devices and removing in excess of 60 standalone desktop printers, Spectrum were able to show instant savings in respect of print cartridge spend and cost per copy. Adding fixed rules on colour and duplex printing also allowed Gelder Group to reduce its costs.

Phase 2 of the project focused on the automation of mundane accounting tasks. By introducing intelligent invoice scanning and information management software, Gelder Group saw immediate time-savings amongst the Accounts Payable and Accounts Receivable functions, through clever integrations with the company’s existing Exchequer Accounts software. All incoming finance documents are now scanned, securely stored, shredded and easily retrieved at the click of a mouse… no more printing copies, storing in lever arch files and drowning in paper!
