Because of the extent of KWL’s operation, working under a phenomenal amount of individual contracts across the client’s property portfolio, it is inevitable that they handle an almost immeasurable amount of data, information and documentation. It is therefore essential that this is all managed in the most cost efficient, timely and effective manner.

The Solution

IT@Spectrum conducted a thorough print audit of KWL’s requirements that included research as to the employee’s experiences of the existing equipment as well as their future needs. The results confirmed the scope for immediate, significant improvements. Many users were frustrated at the unreliability of their devices, disappointed with inconsistent quality and unclear about the features they needed to work more productively. By installing Canon’s premium devices, the KWL staff could rest assured that they would experience minimal downtime and improved quality.

Phase 2 of the project focused on the automation of KWL’s fleet management systems. Operating over 200 vehicles, all of which need tracking and maintaining (and in some cases hiring), it is essential that costs are controlled carefully. IT@Spectrum’s use of world-leading Information Management software, ThereforeTM, meant that intelligent workflows could be created so that documents such as vehicle registrations, maintenance logs and timesheets could be barcode printed and ultimately converted from paper-based documents to digital ones that could flow through the business to their required destination automatically, creating a seamless, automated process for what was once a mundane, everyday task. This simply allows the business to focus on what matters most.
