Soper has ambitious growth plans, particularly in its main construction division. To facilitate this growth, and gear up for an increase in operational activity, Soper Group required improved print management solutions in order to gain better control of costs, as well as the introduction of automated finance systems to help manage the huge volume of purchase and sales ledger transactions dealt with by the Accounts department.

Management of costs is critical in any business, none more so than in the construction industry, where projects run for months and sometimes years. Cash flow can be a real challenge.

That’s why Soper Group chose Spectrum to help optimise its print and information management, with particular focus on the Accounts department.

The Solution

Initially focusing on improving the photocopier fleet, instead of departments having multiple smaller printers, the locations and specifications of the new machines were matched to departmental requirements, with all photocopying machines within easy reach of the users they served.

Phase 2 of the project focused on the automation of mundane accounting tasks. By introducing intelligent invoice scanning and document management software, Soper Group saw immediate time-savings amongst the Accounts Payable and Accounts Receivable functions, through clever integrations with the company’s existing Accounts software.

All incoming finance documents are now scanned, securely stored, shredded and easily retrieved at the click of a mouse… no more printing copies, storing in lever arch files and drowning in paper! During this process, documents are distributed throughout the business, to the relevant people for authorisation, eliminating the problem of purchase invoices being sat on manager’s desks awaiting approval; again making the finance processes altogether more efficient.
